ABOUT THE ROLE

The Product Team Assistant is a vital role that supports the design and development of all products in the Freda Salvador collection. This role works closely with the Product Team ensuring smooth sample execution by managing timelines from the critical path, coordinating with external and internal cross functional partners, and executing supportive tasks to facilitate the development process from design concept to product launch. The product team assistant will be working very closely with all members of the product team, supporting and anticipating needs with an eagerness to learn and execute upon deadlines of the team.  


This role operates part time out of the Corporate HQ office.  

 

DAY TO DAY RESPONSIBILITIES 

Product Development 

  • Receive, unpack, label and catalog samples as they arrive and deliver them to the appropriate team members.
  • Seasonally support the labeling and packing of wholesale samples in preparation for market.
  • Track development samples via courier and on the WIP to keep the team notified of all incoming samples to HQ. Proactively update all relevant team members and alert the team to problem solve any delays. 
  • Fit Session Preparation: Booking fit sessions as needed in designated weekly fit session slots, updating the fit sample log with styles to be reviewed, checking samples upon receipt against previous corrections to prepare the team with changes executed, sample filing post fit session.
  • Prepare and communicate, in partnership with design, proto comments to manufacturing partners.
  • Log all development cost, sample invoices and product details into the BvA to ensure accurate reporting on the Product team budget, flagging any discrepancies with the manager.
  • Keep all active working samples organized around the office by sample stage, ie Proto, Confirmation Sample, Line Sample, Photo Sample.
  • Pack up and inventory inactive samples, in partnership with the Ops team.
  • Track samples for photoshoots from the suppliers.
  • Data entry into systems as needed to support the Product team.
  • Tech Pack preparation, as needed, to support the Product Team.
  • Sample correction document preparation, as needed, to support the Product Team.
  • Preparation of cross-functional product tools seasonally, executing upon responsibilities in tandem with the critical path, managing time accordingly with deliverables outlined in the critical path.
  • Update all supplier WIPS with samples, materials, and prototypes.
  • Update all seasonal development linesheets, ensuring data is consistently accurate. 
  • Initial preparation of all Factory meeting agendas, to share out with Product team members in advance of weekly supplier calls.
  • In partnership with the Product Development Manager, review of all sample invoices and submission to finance for payment. 
  • Ownership of photo sample inventory, including photoshoot samples and TOP’s.
  • Support the maintenance of the internal material library. 

 

Production 

  •  Track pre-production samples and TOPs via courier and on the WIP to keep the team notified of all incoming samples to HQ.
  • Prepare and support the communication of all pre-production comments to factory suppliers.
  • Update all final Production linesheets for cross functional partners, once seasonal buys are placed.
  • Log all cost and product details into the BvA to ensure accurate reporting on the Product team budget.
  • Keep all pre-production samples labeled and organized according to season, function and approval status, archiving inactive samples as needed.
  • Reconcile internal inventory management system against packing lists and invoices for all incoming shipments.
  • Data entry into systems as needed to support the Production team.
  • Update all supplier Production WIPS with pre-production and production approval status.
  • Purchase Order seasonal tool update.
  • Photoshoot sample tracking and inventory management. 
  • Reconciliation of pre-production invoices with the BvA, flagging any discrepancies with the manager.
  • Creation of bar codes seasonally for manufacturing partners. 

 

Requirements 

  • 1-2 years experience in similar role
  • Communication skills are critical for ensuring accurate information across company and with external partners
  • System/data management, and ad hoc reporting
  • Highly detail-oriented
  • Familiarity with footwear and accessory components, materials and material performance standards
  • Strong interpersonal skills and the ability to communicate clearly to broader teams 
  • Exceptional organizational skills
  • Proficiency in Adobe suite and Google Suite
  • Eagerness to lean
  • Bachelors degree preferred
  • Reports to the Sr Manager, Product Development and Production.
